Senior Recruiting Coordinator
Position Summary
The Recruitment Coordinator supports the end‑to‑end hiring process by ensuring seamless scheduling, accurate documentation, and exceptional candidate and stakeholder experience. This role is responsible for recruitment administration, ATS data integrity, interview logistics, reporting, and coordination with candidates, hiring managers, Talent Acquisition Partners, and HR Operations to ensure a smooth onboarding process. The ideal candidate is detail‑oriented, organized, proactive, and thrives in a fast‑pacedenvironment.
Key Responsibilities
Interview Scheduling & Logistics
Manage and schedule all interviews (phone, virtual, onsite), ensuring timely coordination between candidates, hiring managers, and interviewers.
Prepare interview materials, agendas, briefing notes, and logistics arrangements.
Troubleshoot last‑minute changes, conflicts, or candidate issues with professionalism and urgency.
Ensure a positive candidate experience throughout the interview journey.
Recruitment Administration
Provide comprehensive administrative support to the Talent Acquisition team.
Manage recruitment documentation, trackers, calendars, and shared folders.
Support high‑volume hiring activities and recruitment campaigns as needed.
ATS Management & Data Accuracy
Maintain accurate and up‑to‑date candidate records within the Applicant Tracking System (ATS).
Ensure compliance with data governance, documentation standards, and hiring process requirements.
Monitor system workflows and flag any process gaps or inconsistencies.
Offer Documentation & Approvals
Prepare offer letters, employment contracts, and related documentation with a high degree of accuracy.
Coordinate offer approvals with HR, Finance, and business stakeholders, ensuring compliance with policies and approval matrices.
Support offer extension and follow‑up communication with candidates.
Candidate & Hiring Manager Support
Serve as a key point of contact for candidate inquiries, interview logistics, and process updates.
Partner with hiring managers to ensure clarity on recruitment processes, timelines, and expectations.
Provide timely updates and status reports to stakeholders.
Onboarding Coordination
Ensure pre‑hire requirements (documents, background checks, system entries) are completed accurately upon candidate offer acceptance per HR Ops guideline
General TA Support
Support employer branding events, career fairs, or university recruitment activities as needed.
Contribute to process improvements to enhance recruitment operations and stakeholder experience.
Assist with special projects as assigned by the Talent Acquisition team.
Generate weekly, monthly, and ad‑hoc recruitment reports & dashboards.
Bachelor’s degree in Human Resources, Business Administration, or a related field preferred.
3+ years of experience in recruiting coordination, HR coordination, or equivalent administrative support role.
Strong organizational skills and exceptional attention to detail.
Excellent communication and stakeholder‑management skills.
Ability to prioritize and manage multiple tasks in a fast‑paced environment.
Proficiency with ATS systems (e.g.,SmartRecruiters and SuccessFactors) is a strong advantage.
Strong skills in Microsoft Outlook, Excel, Teams, and other productivity tools.

The expected annual pay range for this position is $75,000 - $112,000. This position is also eligible for bonus opportunities. Please note that final offer amount will be dependent on geographic location, applicable experience, and skillset of the candidate.
