Job Description

  • Scheduling, tracking, and organizing daily activities of Business Unit (BU) and division level VPs.
  • Manage executive calendars using MS Outlook.
  • Make travel arrangements using Concur (in accordance with T&E policy), including passport and/or visa applications.
  • Process expense reports using Concur.
  • Plan/organize activities/meetings and other division level events.
  • Ability to administer/produce MS Teams Town Hall Meetings and Place food and catering orders for events.
  • Assist with compiling data/preparing reports when requested.
  • Process purchase requisition in GPR platform (SAP).
  • Process Ringi requests.
  • Submission and/or tracking of ONIT requests (legal platform).
  • Reconcile and submit monthly PCard expenses.
  • Submit invoices for processing and track payment status.
  • Update BU and/or Division level SharePoint site.
  • Schedule candidate interviews, if necessary and arrange candidate travel if needed.
  • New hire set up/onboarding (ensure office/cubicle space is ready (whether shared or dedicated space), work with IT regarding laptop delivery and ensure employee gains access to Renesas network.)
  • Partner with HR and Trade Compliance/Legal when onboarding contractors, including completing necessary documentation.
  • Provide administrative guidance to employees in division/department.
  • Help employee get set up in Concur to book their own travel arrangements, show employee how to process an expense report,
  • Order and maintain office supplies for local employees in BU.
  • Perform other administrative tasks as assigned.

Qualifications

  • High School diploma or equivalent required plus a minimum of 6+ years of administrative experience. 
  • Computer literate in Microsoft Office Suite.  Familiarity working with SharePoint and MS Teams a plus.
  • Provide support with PowerPoint presentations, Excel spreadsheets, Word documents as requested.
  • Able to adapt to various computer software.
  • Good writing, analytical, problem-solving skills, and communication skills.
  • Ability to work independently with little or no supervision.
  • Excellent interpersonal skills, ability to interact with all levels within the organization in a fast-paced environment.
  •  Coordinating the input of others in these circumstances, sometimes under tight deadlines and pressure.
  • Remaining flexible, proactive, resourceful, and efficient with a high level of professionalism and confidentiality.
  • Ability to multi-task and manage multiple calendars, teams and requests.
  • Excellent negotiating, and networking skills
  • Self-motivated person who enjoys challenges
  • Must have excellent organization skills, with good accuracy & attention to detail.
  • Leadership skills and the ability to work well as part of a team.
  • Ability to work under pressure and meet tough deadlines.
  • Prepared to be hands-on & must be practical.
  • Good customer service skills, be proactive, and have a one-step ahead work ethic, attitude and approach.

Additional Information

The expected annual pay range for this position is $93,000 - $116,000. This position is also eligible for bonus opportunities.  Please note that final offer amount will be dependent on geographic location, applicable experience, and skillset of the candidate.
