We are seeking to hire an experienced and highly talented owner’s project manager for both ground-up development projects and improvements in existing buildings.  This position will be based in our Milpitas, CA office and moderate travel will be required.  This position will report directly to the VP of Human Resources.


The ideal candidate will have established a career in project development and project management.  The Facilities manager will be responsible for managing a small team and will work closely on a daily basis with the partners of the firm as well as architects, engineers, contractors, owners and tenant reps.  The position will also be responsible for project development and project management for the corporate office and all field office locations.  As such, the position demands a dedicated individual with excellent attention to detail, leadership skills, facility with numbers and software applications, good people skills and the ability to establish priorities, multi-task, work independently and solve problems.  


Specific Responsibilities:

  • Responsible for writing and maintaining all facilities policies, procedures, and work instructions as well as responsible for negotiation of all external maintenance contracts, i.e., HVAC, landscaping, janitorial, etc.)
  • Provides daily direction and supervision of the facilities mechanics
  • Responsible for the management of all third-party vendors including project managers, architects, contractors, etc
  • Responsible for facilities management and maintenance of roughly 400k sf of office/lab space locally in Northern CA and throughout the US
  • Responsible for project development and project management for the corporate office and all field office locations. Projects range in size from 2k sf to 100k sf
  • Responsible for site selection, lease negotiations and lease review with brokers and legal counsel
  • Act as construction project manager, and responsible for coordinating all office relocations, space planning, furniture selection, and voice/data/AV/security NEC 


Leasing Collaboration

  • Assist the Owner’s marketing staff in developing marketing materials
  • Manage A&E team efforts related to tenant standards and leasing Public Approvals and Utilities
  • Assist in monitoring and expediting public approvals and permitting
  • Negotiate and document services agreements with public utilities


Administration and Finance

  • Prepare and update project budget breakdown and cash flow projections
  • Review and approve invoices from design team and other consultants
  • Update cost reports monthly
  • Prepare and update cash flow projections monthly and prepare regular status report  


Contractor/Services Management

  • Contract negotiations include: General Construction, Architectural, Project   Management, HVAC, Janitorial, Landscape, Corporate Vehicle Leasing, Security Services, Copier and Mail Center Services, and Café Services.
  • Manage the selection of contractors
  • Manage contractor RFP process and negotiation of contracts
  • Expedite cost estimating, logistics planning and project schedule preparation
  • Manage authorizations of early procurement
  • Responsible for design team RFP process and contracting with design firms 


Contract Administration 

  • Manage monthly payment application process
  • Expedite, review and approval of contractor payment applications and request for Change Order
  • Resolve contractor claims
  • Review contractor logs of cost events, pending change orders, submittal status, etc.
  • Maintain Owner logs of projected costs and resolve any discrepancies
  • Review and approve contractor recommendation for award of subcontracts
  • Review status of projects and schedule regularly meetings and hold contractor accountable Contract Close Out
  • Monitor and expedite building department inspections 
  • Receive and assemble approved operating manuals, as-built documents, warranties, and waivers
  • Resolve pending claims and disputes
  • Expedite commissioning process
  • Engage independent audit of project costs if necessary  



  • We are looking for a passionate team player with grit, high integrity and a honed attention to detail
  • BS or advanced degree in Engineering, Architecture, or Construction Management
  • 10-12 years of experience successfully managing design and construction projects
  • Life science or technology industry experience is a plus
  • Individual should possess excellent oral and written communication skills
  • Day-to-day working proficiency with software applications – Excel, Word, MS-Project 
  • Ability to handle multiple tasks with strong organizational skills
  • Detail oriented with independent work ethic
