Reports to: This position will report to the Sr. Manager of Customer Training & Event Section.

Job Overview:

We are looking for a candidate with a marketing background, ideally in the technology space, and a proven track record in events management, having successfully delivered own and third party organized B2B customer events. You will be joining our Marketing Communications & Demand Creation organization and will need to hit the ground running to support senior management in preparing for planned 2020 events. These will include established larger-scale third party organized events as well as smaller but higher frequency customer workshops, and new concepts for medium scale (100-150 person) customer seminars.

 

Responsibilities and Duties:

Event Coordination:

  • Work closely with Senior Manager for global events, global product marketing teams and local stakeholders in Sales and other departments to ensure timely and professional delivery of planned events; you will manage all aspects of the logistics of setting up and delivering 3rd party organized events, including venue preparation, stand design, content and collateral, invitations and attendance, material and audio-visual resources, refreshments and accommodation when applicable; project manage these to ensure all milestones are achieved on time and on budget before, during and after the event; act as the first point of contact for all enquiries relating to the event.
  • Work with third party event organizers and other partners to ensure that event contracts, quotes, purchase orders, invoices and other such logistical items are prepared and approved by internal Legal teams, Finance teams, etc. in a timely manner.
  • Ensure that appropriate KPIs are set for all events in line with department strategy; collection of leads during the event; live analysis to ensure that hot leads are share with our email marketing team on the day and dispatched to Sales immediately; timely dispatch of all other leads for electronic follow up just after the event; post event review and lessons learned reporting; evaluation of existing and potential new events including the collation and analysis of data to enable informed decisions about future participation.
  • Work closely with various Marketing and Communications teams to ensure that event marketing communications are joined up and complementary to existing and planned campaigns.
  • Work with management team and other global event stakeholders in developing a marketing strategy for events and assist in its delivery; be responsible for internal management approval processes; produce detailed plans; assist in the production and distribution of event-related marketing materials including web content to promote events; promotion of events to new and existing audiences through close cooperation with various marketing teams.
  • Work with management team to develop, manage and forecast an accurate customer event budgets for the current financial year and in planning requirements for the following year.
  • There will be an expectation that the candidate will be able to travel within the Americas to support various events throughout the year, once or twice per month on average.

 

Qualifications:

  • Event planning and project management for own and third party organized events including logistics and financial management.
  • Budgeting, planning, organizational and project management skills to prioritize and manage workload to strict deadlines with a minimum of supervision.
  • Ability to work independently under remote management in a different time zone.
  • Strong inter-personal and communication skills, including ability to communicate with non-native English speakers and negotiate with third parties and partners.
  • Marketing planning at strategic level including budget management.
  • A creative flair for effective design and development of an event, as well as contributing to its promotion. There is also an expectation that you will pitch ideas for new events or new processes internally as well as get buy-in of other departments and stakeholders.
  • Ability to solve problems quickly and independently when on site at events.
  • Excellent computer skills and working experience of MS Office applications.
  • Flexibility to travel throughout Americas and occasionally further afield to Japan or Europe, and to work varying hours including evening and weekend work should an event demand it.
