Our team in Germering is seeking an experienced Office Administrator to be responsible for the day-to-day administration of the reception, support coordination of service providers, and be a key member of the Health and Safety team. This position can be either full-time or part-time.

 

Job Summary

 

Reception:

 

  • Coordination of incoming phone calls (switchboard)
  • Welcome all clients and visitors
  • General correspondence and dealing with incoming and outgoing mail
  • Organization of internal + external meetings
  • General disposition of Office supplies, material. Main contact person for office suppliers

 

Administration:

 

  • Supervise and coordinate service providers (building cleaning, caretaker Services, mechanical Services) in cooperation with the Facilities and Administration Manager
  • Support internal and external audits (incl. administrating documentation paper)
  • Support Facilities and Administration Manager in terms of Facility Management and BCP actions
  • General support to site events

 

Health and Safety:

 

  • Be part of the Health and Safety Team and exercise Health and Safety tasks in close cooperation with the "Head of Health and Safely"
  • Be the main contact for H+S issues and coordinate all Health and Safety work for Germering in cooperation with our external service provider and "Head of Health and Safety Team"

 

Your Profile

 

  • More than 3 years of work experience in a similar role
  • Must have excellent proven Organisation and administration skills, with good accuracy & attention to detail
  • Proactive, hands on, able to prioritize and establish effective processes with a fast-moving environment
  • Excellent interpersonal communication skills, able to interact professionally with people at all levels internally and externally
  • Customer focused, positive and friendly attitude
  • Has a professional and corporate work ethic, displaying discretion & sensitivity when appropriate
  • Experienced user of MS Office. Experience in using SAP is advantageous
  • Good spoken & written communicaton skills in both English & German
  • Experience in cooperating with facility Service Providers
  • Professional education in Office Management, Executive Secretary preferred or house management
